Feature catalogue
Everything a staffing agency needs — across nine areas.
Every item is labelled honestly: “Available now” is built and running in the system, “In development” is being switched on during the beta and beyond. The package badge shows the package from which the feature is included.

Onboarding and offboarding checklists
Templates for joining, assignment start and leaving start by themselves when needed — for example when an application is marked as hired, an employment relationship is created, an assignment begins or a leaving date is entered. Every step has a responsibility (office, dispatch, account manager or the employee), a due date and a type: task, upload document, complete details, document for digital signature (PremiumPlus), read receipt, instruction, issue PPE, check return or generate document. Employees complete their steps in the Employee Web App under “My tasks”; uploaded documents and completed details only count once the office accepts them. When someone leaves, the checklist checks whether PPE, tool kits and work equipment have been returned. Open steps appear in the task inbox and as deadlines; sample templates are provided inactive.
-
Onboarding before day one
New employees enter their joining details in one of up to eleven languages before the first day and upload documents — the office checks every entry before it is adopted. Signing the contract in the Employee Web App comes with the e-signature in the PremiumPlus package.

Shift planning with shift rotations
Shift models (code, start, end, break — also past midnight) and shift rotations with any cycle from 1 to 56 days, e.g. ten-day or short/long-week patterns, assign a pattern to assignments; the plan is generated eight weeks ahead. In the assignment × day matrix you set shifts or swap with a person at the same client with one click. Notes on rest periods, daily maximum and weekly rest under the Austrian working-time and rest-day laws across all of a person’s assignments appear as warnings — nothing is ever blocked. Shift allowances arise automatically in the time-type split, and the target hours of time recording follow the plan. The Employee Web App shows “My shift plan” with a calendar file; in the customer portal the shift plan of the client’s own assignments can be shown (can be switched on by the tenant, off by default). Absences appear only as “AB”, without a reason.
-
Attendance monitor
Status per assignment for today: present, left, absent or not clocked in — without times and without the reason for absence.
-
Replacement flash
When someone drops out, ask suitable workers via a group offer, with a working-time check; dispatch confirms the replacement. Can be switched on per tenant.
-
Assignment offers
Send open assignments to suitable employees, reply with one tap, the first acceptance wins; dispatch still schedules. Switched on per tenant.
-
Today’s assignments
Per client, location and dispatcher — including hours sold.
-
Leave entitlement under the Holiday Act (UrlG)
Entitlement, pro-rating, usage, carry-over and lapse per leave year; holiday compensation as a preview in the trial run.
-
Accommodation management
Lodgings, rooms, bookings and search near the work site.
-
Staff proposals in the customer portal
Offer candidates anonymously; the client accepts or declines in the portal.
-
Check-in agent
Automatic assignment check-ins via push, with escalation when nobody answers.
-
Customisable dashboard
Tiles for staff hours, absences, idle times, tasks and recruiting — order and selection per person, defaults per role.
-
Saved views & number quick search
Save filters, columns and sort order of the core lists — employees, applicants, clients, contacts, assignments, client requests, timesheets, invoices, orders and quotes — as a view: private, for the team or for a location, with a default view and hit counts in the task inbox. Everyone only sees the records they are allowed to see. In the search, an invoice, assignment, order, quote, client or personnel number leads straight to the record.
-
Daily cockpit “Cockpit X”
One page for the day: a priority list from the task inbox, your own and delegated items and deadlines that shows why something is on top (score = urgency × area × relevance, weights adjustable per tenant) — plus open suggestions to review and “done since yesterday”. You complete tasks and appointments straight from the list; “Postpone” hides an item in your own list only. The cockpit works without AI; the optional daily briefing from plain figures only exists once AI is switched on for the tenant (off by default, processed in the EU (Vertex AI EU) or locally).
-
Margin guard
Deal check when creating a placement: contribution margin per hour and the section 10 minimum pay live; below the minimum the placement cannot be activated, below your minimum margin a second person approves.
-
Assignment compliance light
Before each assignment start: industrial action (section 9 AÜG), minimum pay (section 10), section 12 notice, workplace information, work permit, mandatory documents, instruction and PPE — blocking only for sections 9/10, otherwise a check aid with four-eyes override.
-
Client declaration
The client’s details under sections 10/12 AÜG — now including the customer checklist from annex V of the temporary agency work agreement (reference association, works council and pay scheme, classification, piece rate, place of work, apprenticeship, welding processes) — answered digitally in the customer portal and kept as a signed, versioned record. With one click dispatch transfers category, works-agreement flag, piece rate and type of assignment into the assignment; a classification aid for fitters and welders and a check against welder certificates give hints — you stay in control.
-
Ready to start
Assignment briefing the day before on the phone in the employee’s language, confirmation and a hint to dispatch on no-shows — only with a works agreement, off by default.
-
End of assignment under control
Extension request to the client via link or customer portal, confirmation by dispatch and deadline-monitored notice to the employee.
-
Internal control monitor
Rules check the change log every night (e.g. bank details changed shortly before payday, hours changed after approval); optional four-eyes rules for critical master data — rate reductions and wage-rate changes, also on assignment and order rates and in small steps, as well as write-offs of open receivables and cash-discount deductions above the agreed rate, after the discount period or above a threshold — likewise changes to the cash-discount rate, discount days and date sent of an open invoice — only after four-eyes approval (can be switched on per tenant; a normal cash discount stays a single click, and optionally the same check applies to ‘Settled (shortfall)’ after a part payment). No score, no ranking, only with a works agreement.
-
Audit cockpit
Self-audit by sampling along the document chain and audit file with SHA-256 manifest.
-
Auditor access
Time-limited, logged read-only access for external auditors — with four-eyes approval and a one-time code.
-
Non-profit staff leasing
Funding programmes and cost bearers (AMS, federal state, ESF+) per assignment, a support file with deadlines, funding reports with approved hours, support hours, transition and destination rates — as PDF/CSV, optionally pseudonymised — and attendance sheets with signature fields. No health data, no filing.

Record hours where the work happens — and get them approved without paper chaos.

Running time account per employee with monthly figures.
-
Hour approval by the client
In the customer portal or via a signed one-time link.
-
Employee Web App
Monthly hours and time account, absences, expenses with receipts, documents and training.
-
My data & change requests
In the Employee Web App employees see their master data and request changes — address, phone, email, emergency contact, languages, driving licence and bank details. The IBAN is shown only in shortened form, and new bank details are only possible after re-entering the password. A request changes nothing until the office checks each field individually with a field comparison and accepts it; a neutral push reports the result. For new bank details an info email (via the tenant’s mail server) goes to the address stored so far, the office sees a prompt to confirm them by phone or in person, and with the internal control rule switched on they also need four-eyes approval. Repeated online applications likewise show changed details as a suggestion with a field comparison. Can be switched on per tenant, off by default.
-
Push notifications
Web push in the Employee Web App, e.g. for decisions on absence requests — without an app store.
-
Weekly report & accident register
Weekly reports with PDF and a workplace-accident register (HSE).
-
Time types & public-holiday calendar
Time-type catalogue and Austrian public-holiday calendar.
-
Business trips
Multi-day trips with foreign per-diem rates and foreign currency — rates maintained per tenant.
-
Daily entry with time-type split
Weekly split into normal, additional, overtime, night and Sunday/holiday hours under the collective agreement and working-time law — across assignments too.
-
Time entry in the Employee Web App
Record by day, week or month and submit for approval — can be switched on by the tenant.
-
Time clock
Clock in, break, clock out, even offline; rounding, tolerance, flexitime; optional location check; can be switched on once the works agreement is confirmed.
-
Client and employee hours kept separate
Hours as stated by the client and by the employee are kept separately — traceable per timesheet.
-
Working-time pre-planning across all clients
Warns during scheduling if working-time limits would be exceeded across all clients — as a notice, without blocking.
-
Messages
Messages between employee and dispatch in the Employee Web App.
-
Day-by-day approval in the customer portal
The client approves individual days or rejects them with a reason, also in bulk per week; after a correction, days that were already approved and have not changed stay valid.
-
Team structure in the customer portal
For large clients: a department tree of up to five levels (e.g. plant → hall → shift), approval responsibility per department or assignment, a main approver, substitution during absence and the team-lead view “My team”. Whoever is responsible sees and approves only the hours of their department — this also applies to absences, attendance and time records; without a responsibility a restricted person sees nothing. Clients never see reasons for absence. Optional (off by default): a neutral reminder and escalation to the department head after a configurable number of working days — nothing is ever approved automatically, and the emails contain neither hours nor names. The responsibilities apply throughout the customer portal — also for end of assignment, reordering, request status, assignment channel, inspection reports and signatures; orderers without a responsibility see nothing there if the tenant uses responsibilities.
-
Team-lead time entry
Enabled team leads record time and clock in for their team in the Employee Web App; the person concerned sees who recorded it.
-
Heavy-work recording
Record and confirm heavy-work days and months — as evidence only, without filing.
-
Timesheet inbox
Upload scanned or photographed timesheets in batches, QR forms per assignment, review screen and adoption as a draft.
-
Customer time import
Read in your clients’ hours as CSV, Excel or JSON — by upload, through the REST API or from an SFTP pickup folder. A profile per customer defines which columns, date and decimal formats, duration formats (decimal hours, hh:mm, industrial minutes) and time-type codes apply; matching works via assignment number, personnel number or the employee number at the client, and a test upload previews the first rows. A review screen shows per row ok, warning, error or “already imported” as well as conflicts with days already recorded; nothing is booked until you confirm, and then only into the draft timesheet — never submitted, never approved. The same file and the same rows are not booked twice. Booking without a click exists only for profiles that an admin switches on for it (off by default).
-
Push for clients
Web push notifications in the customer portal.
-
Signature on site
The client signs the timesheet directly on the employee’s device — with a checksum and timesheet PDF, optionally counting as the approval per client.
-
Digital assignment ID
Employees show their assignment with a verification QR code in the Employee Web App, even offline; the client verifies it in the customer portal — no biometrics, photo only with consent (can be switched on per tenant).
-
News with read receipts
News for the team, the Employee Web App and the customer portal — in the Employee Web App targeted by client or location, optionally with mandatory read receipts, read rate and an optional push reminder (read receipts only with a works agreement).
-
AI timesheets
AI reads the scans — as a suggestion in the review screen.
-
Timesheet autopilot
Follows up on missing and unapproved hours automatically — push and (with consent) SMS, approval link to the client, task for the placement manager; off by default.
-
Absence cockpit
A traceable control status for every absence except vacation — proof missing, proof received, taken over into time recording, cleared — with a proof deadline (adjustable per tenant), a reminder to the employee and a task-inbox alert when a deadline is exceeded. Sick leave and health-related absences are only visible to authorised people — in lists, figures and tasks; on the dispatch board everyone else only sees a neutral “absent”. There are no diagnoses and no AI analysis; person-level lines for unexplained absence days only appear with a works agreement.
Invoicing & finance

Invoice from approved hours
At the push of a button, protected against double invoicing, with gap-free numbering.
-
Payments, credit notes & dunning
Incoming payments, cancellation and partial credit notes, multi-stage reminders.
-
Partial credit notes
Credit individual amounts or hours, offset the credit against open invoices of the same customer (“deducted from”) and cancel credit notes with a counter-entry; the number is only assigned when finalised, optionally from a dedicated credit-note number range.
-
Cash book under Austrian tax law (BAO)
Running balance, immutable entries, reversal by counter-entry, daily close.
-
E-invoice (ebInterface, PEPPOL, XRechnung)
Generate invoices in your customer’s format: ebInterface (Austria), PEPPOL BIS Billing 3.0 or XRechnung 3.0 (Germany) — selectable per customer, with PEPPOL ID or Leitweg ID and buyer reference. For ebInterface 6.1, PEPPOL and XRechnung the system checks the file before sending against the schema and the EN 16931 core rules; if there are errors, the error list is shown and nothing is scheduled. Download the XML or attach it when sending documents by e-mail (credit notes also as e-invoices); for federal authorities with a transmission record. Without a selection the existing ebInterface XML stays the default.
-
Accounting export (BMD/DATEV-ready)
BMD/DATEV-ready journal-entry CSV — per invoice or as a monthly batch export with a sequential run number and export flags on the documents; accounts configurable per tenant.
-
Month-end overview

-
Invoicing rules & invoice texts

Invoices from payroll data (finalised trial-run statements) with surcharge factors per client, order or assignment, cost statement and protection against double invoicing.

-
Invoice PDF with payment QR
Print variants, hours statement as enclosure and an EPC QR code for bank transfer.
-
Bank reconciliation (camt.053 & CSV)
Import bank statements as camt.053 or CSV and match incoming payments to open invoices with scored suggestions — by invoice number or payment reference, amount, cash discount and collective payment. You confirm every match; automatic matching of unambiguous references is off by default. Posting uses the regular payment posting, so your approval rules apply too (e.g. for cash discounts); the reconciliation never initiates a payment. The automatic dunning run holds back invoices covered by a reliable bank suggestion.
-
Invoice file
Everything about an invoice on one page: amount due (early-payment discount and credit notes included), line items, payments, reminders, instalment plan, dispatch and accounting export.
-
Credit limit & invoicing reports
Credit limit per customer with open items and a warning as early as scheduling (no automatic block); payments received, invoice journal per tax case and open-items list at any key date as CSV and PDF.

-
Payroll account & checklist
Payroll account per employee and year as PDF/CSV with a checklist (totals, missing months, replaced payslips, missing posting rules).
Payroll preparation means: EagleDesk calculates and checks in advance and hands over to external payroll. Filings with authorities and wage payments are deliberately not included.

Insights home
Your KPI cockpit — revenue, invoiced hours, contribution margin and productivity compared with the previous period or year and a target traffic light, monthly trend and location ranking with outlier marking; filters by location, region and client as a shareable link, every figure with its definition and calculation, Excel export with a total row. Small groups below 3 people are protected.
-
Insights with targets
Productivity, targets, thematic comparisons and projections. Evaluations that concern individuals only appear with at least 3 persons on assignment unless a works agreement exists.
-
Hours bridge
Trace every hour from target to invoice — public holidays, vacation, sick leave, time off in lieu and idle time, then productive, approved and invoiced hours. What is approved but not invoiced (or paid but not billed) is valued as an estimated euro lever. Waterfall, rates against your targets, monthly trend, PDF and CSV. Sick leave only with the “view health data” permission, only for groups of five or more and never per person – otherwise absences appear together as “absence”; without a works agreement, groups below three people are only shown combined.
-
Workforce
Active employees, FTE, net change and part-time rate at a glance; early termination of assignments by originator (employee, client, agency — where the reason for ending is recorded and assigned to an originator) and by application source, client or job profile, plus retention curve and re-deployment rate; FTE and early termination with target and traffic light. Without a works agreement, groups below three people are combined; there is no analysis per person, and the export contains no employee names.
-
KPI data quality
The system checks by itself whether time types, wage types, assignments, invoice lines, hours and targets feed your key figures completely — for example assignments without a location, dispatcher or collective-agreement tariff, time types with contradictory settings, or approved hours that were not invoiced. The “KPI data quality” page shows a completeness traffic light per month and location (threshold adjustable), and an overall traffic light for the last three months sits on top of the reporting pages; findings lead to the fix by direct link, time types can be assigned in bulk; admins get a notice at most once a week when completeness falls below the threshold. Findings show numbers and keys, never names; the overall traffic light is shown to people with full data access.
-
Freeze monthly figures
At month-end close one click — or, on request, an automatic run on a chosen day of the following month — freezes revenue, invoiced hours, contribution margin and productivity per location, with Workforce also FTE and headcount. Frozen figures cannot be changed; freezing again only creates a new version. Later bookings such as cancellations, credit notes, late hours, rate or staff changes are counted by cause in the month-end close; with Premium All In they show up in Insights (Target vs. actual) as an explained difference “Post-booking Δ”, and the “Month-end close basis” keeps comparisons reproducible. Person-related figures of groups below three people stay protected without a works agreement.
-
Report subscriptions & deviation alerts
Reports on a schedule as PDF or CSV, delivered in the app with a protected download; key-figure alerts on significant deviations (Premium All In).
-
AI explanation of key figures
Ask about and explain key figures in natural language — aggregated figures only, clients pseudonymised, off by default. Questions containing recognised names of employees or applicants are not sent to the AI; comparisons with fewer than three people per row only in aggregated form.
-
Finance radar
Exposure per client including delivered, not yet invoiced work, a warning from your credit limit without an automatic block and a 13-week liquidity forecast.
-
Client pulse
Weekly early-warning score per client from hours, requests, approvals, contacts, payments and check-ins — with the three reasons, the next action and a portfolio matrix. A hint only, no automatic block.
-
Margin radar with collective-agreement scenario
Contribution margin of every hourly-billed assignment projected forward (§ 10 AÜG wage timeline, probation, reference supplement, agreed rates) — you see when an assignment falls below your target and simulate a collective-agreement increase. After four-eyes approval, the price adjustment goes to the customer portal as a letter; once the client signs, the new rate applies from the effective date.
-
Lists & reports
Joiners and leavers, assignments on a key date, sick leave (periods only), open assignment notices, missing employment statements, open equipment returns, training due, payroll-account checklist and address labels — as CSV/PDF, every export logged.

§11 and §12 documents
Employment contract and assignment notice automatically as a print-ready PDF.
-
Document generator
Versioned templates with safe placeholders for further paperwork.
-
Encrypted storage
IDs, contracts and receipts encrypted, retrievable only over authenticated routes.
-
Your own branding
The tenant’s logo and colours on documents, in the Employee Web App and in the customer portal.
-
Document storage in every file
For employees, customers, assignments, orders, quotes, applicants and accommodation, with categories, versions, SHA-256 checksum and deletion lock.
-
Automatic archive copy
Every template-generated document is filed in the related record with checksum and deletion lock.
-
Visibility per document
Release per document, tags and timesheet link to time tracking.
-
Digital signature with workflow
Sign documents yourself or send them for signature — in the Employee Web App and the customer portal, with signing sequence, confirmation code and signature record (simple electronic signature).
-
Global archive with search
Document archive across all records: search by name, tag and personnel/customer/assignment number, full-text search with an encrypted word index (no plain text; health records are never indexed), versions, ZIP download and drag to the desktop (in Chrome and Edge).
-
Mandatory-documents cockpit
Checklist of missing mandatory documents and expiring records.
-
Barcode on documents
Barcode or QR code on documents for scan assignment, switchable per tenant.
-
Inbox with automatic assignment
Batch upload, e-mail mailbox or SFTP folder: QR codes, document numbers and file names are recognised locally, a person confirms the filing. Cover sheet for sick-leave certificates — without text recognition of the certificate itself.
-
Signature & stamp at the click of a button
Upload a signature or company stamp once per user or location — employment contracts and documents from templates carry it automatically, stored encrypted.
-
AI document translation
Translation suggestion with approval, processed in the EU.
-
Letterhead & Word export
Letterhead per tenant and location, printing “without letterhead”; invoices, credit notes and reminders go out by e-mail and in the customer portal on your company letterhead, with page numbers — a reprint always looks like the original. Generate documents for clients, assignments and applicants, also as a Word file.
-
Word templates with placeholders
Upload your own .docx with placeholders: the system checks the file and the placeholders before activation (no macros, no external links), fills table rows per line item and inserts signature, stamp and logo. The result is stored in the record as a Word file and a PDF view — the PDF view may differ from the Word layout.
-
Custom text marks & exit documents
Define your own placeholders for templates — as text, date, number or choice, optionally required; the system asks for them when generating. Per exit reason you decide which documents are generated at the click of a button (e.g. confirmation of termination, employment confirmation) — with the exit date as reference date, stored in the personnel file with checksum and deletion lock. You review the supplied sample texts before use.
Platform, packages & GDPR
The foundation: tenant separation, permissions, traceability and interfaces.

-
Multi-tenant with its own key
Every organisation strictly separated, sensitive fields with their own key — with its own branding.
-
Two-factor sign-in & roles
App-based 2FA and clearly separated roles from admin to dispatch.
-
Two-factor sign-in in the Employee Web App
Via app with recovery codes; can be switched on by the tenant as mandatory for everyone.
-
Admin accounts protected
No admin of your tenant directly changes the password or email address of another admin account or deletes it — there is only a password-reset link to the account’s own address. A newly created or promoted admin account may not grant approvals of the internal control monitor for an adjustable period (default seven days) — it may only agree to its own demotion — and the other admins receive an info email via the tenant’s mail server. Role changes to admin accounts (promotion and demotion) only take effect with the approval of a second person once there are two or more admin accounts; with exactly two admins, the affected account itself agrees to its demotion.
-
Audit log
Who changed what and when — sensitive fields such as name, address, social-security number, IBAN or findings not in plaintext.
-
Deletion periods & access requests
Automatic deletion after the deadline unless a retention duty applies (for employees from the deletion date entered), deletion locks for data subject to retention and one-click access reports under Art. 15 GDPR for employees, applicants and customer contacts — with purpose, legal basis, retention period and recipients per processing activity; data of other people stays protected.
-
Data export at any time
All data as JSON and CSV plus documents in one ZIP, requested by admins themselves.
-
Backups & monitoring
Daily, integrity-checked backups and a health check for monitoring.
-
Integrations outbox
Exports are stored encrypted, logged and made available to admins for download — optionally also transferred via SFTP to a server of your choice (journal-entry CSV and e-invoice, with Premium All In also the cost-accounting file), with a mandatory fingerprint of the target server.
-
Packages, quota & add-on modules
Package per tenant, quota of active workers and add-on modules.
-
Locations & cost centres
Branches as locations with cost centre, cost units, assignment manager per assignment with history and a location filter.
-
Fine-grained rights & data access
Individual permissions per user and tenant, permission profiles, permission matrix and export log; data access per person: own, selected, location or all data — also for deadlines, contacts, sales opportunities, vacancies, signature requests and the mandatory-documents cockpit, including exports, mail-merge letters and reminder e-mails, as well as in campaigns, mailing runs and the demand radar.
-
Record of processing
Record under Art. 30 GDPR straight from the system — including an overview of records due for deletion per retention period and deletion at the push of a button.
-
Custom data fields & tables
Custom data fields and tables for employees, customers, assignments, applicants and more master data — with required checks, columns, filters, export and template placeholders; personal data encrypted, health data blocked.
-
REST API & webhooks
REST API (v1) with its own access per application: choose the scopes individually, optionally restrict to IP addresses, mandatory expiry date, revocable at once; the key is shown only once. Read employee, customer, contact, assignment, invoice, payment and hours data for your accounting or controlling, described in OpenAPI; customer hours can also be submitted — as a suggestion for the review screen, never straight into a timesheet. The interface never releases social security numbers, dates of birth, bank or health data. Webhooks report, among others, finalised, paid and cancelled invoices, booked payments, approved hours, new and changed customers, employees and assignments, and ended assignments — signed, with automatic retries and a delivery log, without personal data and values, with an ID only; the receiver fetches the details via the API.
-
BI interface & cost accounting
Key figures via API for your BI tool — open-items aging, revenue per month and per client, utilisation — and a monthly cost-accounting file per location and cost centre with net revenue, invoiced hours and number of invoices, from the same figures as controlling (without cancellations and drafts). On request the file goes out automatically via SFTP to your tax adviser or your controlling as soon as the month is fully invoiced.
-
Knowledge assistant
Ask how to use the system or about your own policies in your own words: the answer relies only on the manual and your uploaded documents and always names the source — no basis, no answer. Documents for admins only stay invisible to dispatchers; uploads are checked for social-security numbers, IBANs and clusters of email addresses. Questions and answers are not stored; questions with recognised health information, social-security numbers, IBANs or email addresses are not sent to the AI. Off by default, processed in the EU (Vertex AI EU) or locally.
-
Selection lists & print texts
Maintain your own selection lists with versions, custom print texts for employment contract, assignment notice, invoice and assignment sheet; authorities address book as master data only, without submission.
-
Substitution & handover
Substitution takes effect immediately in the task inbox, “My items” bundles your own cases, and on exit one click transfers all responsibilities.
-
Help in every window
The question mark opens the manual at the right place. Forms show who changed a record last; admins see the change history (field names only, never contents); “Previous/Next” pages only through records you are allowed to see.
-
Corporate group
Group overview across all companies — revenue, hours, contribution margin, assignments and open items per tenant and consolidated, intercompany eliminated. Inherit catalogues from the lead tenant: qualifications, time types, selection lists, templates, payment terms and dunning types as a version — sister tenants adopt missing entries with one click, nothing is overwritten.
